Buy-and-sell group rules template (copy, paste, pin)

A complete rules post for condo and village buy-and-sell groups - English and Taglish versions, ready to pin today, plus the reasoning behind every line so you can defend the rules when someone pushes back.

What a good rules post covers

A working buy-and-sell group rules templatecovers five things: posting rules (what a valid listing looks like), payment rules (who pays whom, and what counts as proof), a scam policy, a banned-items list, and enforcement tiers - warn, then mute, then remove - applied the same way to everyone. Groups fail less from bad members than from rules that exist only in the admin's head.

Posting rules

  • One selling post per seller per day. You may repost tomorrow.
  • Every post must show: a real photo of the item, the price, and how to order. Posts with “PM for price” will be removed.
  • Residents and verified members only. No posting for outsiders.
  • Keep comments about the item. Take haggling to private message.

Payment rules

  • Buyers pay sellers directly (GCash, Maya, bank, or cash). Admins never collect, hold, or guarantee payments.
  • Sellers: verify payments inside your GCash or bank app before releasing items. A screenshot is not proof of payment.
  • Reserving an item means committing to buy it. Reserve-then-disappear (“joy reserving”) is a violation.

Scam policy

  • Report suspected scams to an admin with screenshots. Do not confront or accuse in the main chat.
  • Confirmed scammers - fake payment proof, items never delivered, outsiders posing as residents - are removed immediately and permanently. No second tier.

Banned items and posts

  • Anything illegal, counterfeit, or age-restricted.
  • Medicines and supplements requiring a license to sell.
  • MLM / networking recruitment, loan offers, and raffle posts.
  • Off-topic ads for businesses outside the community.

Enforcement

  • 1st violation: written warning from an admin.
  • 2nd violation: 7-day mute (no posting or commenting).
  • 3rd violation: removal from the group.
  • Scams and fake payment proof skip straight to removal.

By posting or buying in this group, you agree to these rules. Admins moderate as volunteers - please make it easy for us.

The Taglish version

Post whichever fits your group's voice - or both. Many admins pin the Taglish one because it reads as kapitbahay, hindi korporasyon.

Sa pag-post

  • Isang selling post kada seller kada araw. Pwede ulit bukas.
  • Kailangan may totoong photo, presyo, at paano umorder. Bawal ang “PM for price”.
  • Para lang po ito sa mga residente at verified members.
  • Sa comments, tungkol sa tinda lang. Ang tawaran, sa PM.

Sa bayaran

  • Direkta ang bayaran ng buyer sa seller (GCash, Maya, bank, o cash). Hindi po humahawak ng pera ang admin.
  • Mga seller: i-check ang bayad sa mismong GCash o bank app bago ibigay ang order. Hindi patunay ang screenshot.
  • Kapag nag-reserve ka, bibilhin mo. Bawal ang joy reserve tapos mawawala.

Sa scam

  • I-report agad sa admin kasama ang screenshots. Huwag awayin sa main chat.
  • Ang napatunayang scammer - pekeng resibo, hindi dumating ang order, nagpapanggap na residente - tanggal agad at hindi na babalik.

Mga bawal ibenta o i-post

  • Anumang ilegal, peke, o may age restriction.
  • Gamot at supplements na kailangan ng lisensya.
  • MLM recruitment, pautang, at raffle posts.
  • Ads ng negosyong wala sa komunidad natin.

Parusa

  • Unang paglabag: warning mula sa admin.
  • Pangalawa: 7 araw na mute.
  • Pangatlo: tanggal sa grupo.
  • Ang scam at pekeng resibo, diretso nang tanggal.

Sa pag-post o pagbili dito, sumasang-ayon ka sa mga patakarang ito. Volunteer lang po ang mga admin - pakidalian po kami.

Why each rule exists

One post per day

Without a cap, your most aggressive seller becomes your whole feed and everyone else's benta drowns. The cap is not anti-seller - it is what keeps ten sellers visible instead of one. Photo, price, and how to order

“PM for price” posts generate twenty identical private conversations for the seller and zero information for the group. Posts that state everything up front sell faster and ping the admin less.

Admins never hold money

The moment an admin touches a payment, every failed transaction becomes the admin's debt. Direct buyer-to-seller payment keeps responsibility exactly where the transaction is.

A screenshot is not proof

Fake GCash receipt images are now AI-generated and pixel-perfect; GCash's own advisory says to confirm money in the app's Transactions tab, never from an image. The seller-side routine is in how to verify GCash payments.

Joy reserving is a violation

When a buyer reserves food and vanishes, the seller already spent the puhunan and the food becomes tapon. Naming it in the rules turns “nakakahiya namang i-report” into a normal report. The full pattern is documented in bogus buyers and joy reservers.

Tiered enforcement: warn, mute, remove

Tiers protect the admin as much as the members. A public ladder means removals are never personal - the member climbed it themselves. The one exception is fraud, which skips the ladder, because a scammer warned is just a scammer with a head start.

Enforce tiers in writing, even one sentence: “Warning 1 of 2, rule 3.” The paper trail is what makes the eventual removal drama-proof.

When rules are not enough

A pinned post can say “one post per day” but cannot enforce it while you sleep. It cannot show live stock, track who actually paid, or remember which buyer ghosted three sellers. Is there a Tagalog version of the group rules template?

How should admins enforce rules in a selling group?

Always enforce in writing, even one sentence, so removals rest on a paper trail instead of on the admin's word.

Should group admins handle payments between buyers and sellers?
